Stock Inventory Counting

Stock inventory counting is the process of verifying the actual quantity of products in stock and comparing it with the data recorded in the system in order to update inventory accurately, reduce discrepancies, and improve the efficiency of inventory management.
1. Log in to the Back Office
Go to login.gpos.co.th, enter your email and password, then click Log in. Once logged in, select Inventory Management, then choose Inventory.

2. Select Products
You can select products by Viewing all products, or Browsing by the desired category. Click the “+” icon in front of the product name that you want to count.

2.1 Search for Products
Alternatively, you can search for products by entering the item name/barcode/scan (using a scanner). When the desired product is found, click the “+” icon in front of the product name to add it to the stock counting list.

3. Stock Counting
After selecting the products, count the actual quantity of products in the store.
Enter the “Actual Inventory” to compare it with the quantity recorded in the system.

3.1 Reviewing Quantity Differences
When the “Actual Inventory” has been entered for all items, the system will display the difference between The quantity recorded in the system, and The actual counted quantity. You may add a note to provide additional explanations if necessary.

4. Temporarily Saving Stock Count Results
If you want to save the stock count results temporarily such as when you need to return to edit later or access other Back Office functions click “Inventory Record.”

4.1 Stock Count Status
The system will temporarily save the most recent stock count data and redirect to the Inventory Record page. The system will display the history of all stock counts that have been previously performed. You can
- Click “Inventory” to return to the stock inventory counting page (Section 4) that is currently in progress. You may use other Back Office features first and return to continue the stock count later.
- Click “+ Inventory” to start a new stock inventory count.
Note : Starting a new stock inventory count will not allow recovery of the previously saved temporary stock count data.

5. Saving Data During the Process
You can click “Temp Save” to save the data during the process, in case you want to return to edit later or use other Back Office features.

5.1 Resuming the Process
The system will save the stock count and remain on the stock counting page.
When you return to the “Inventory” page again, the system will notify you that there is an unfinished stock count. Click “Next” to display the ongoing stock count. You can click “Continue” again to continue working, or click “Cancel” and select “Void” to delete the record.

6. Confirming Stock Count Results
After completing the stock count, click “Record Items Left as Actual Inventory” and then click “Inventory Complete” to confirm the stock count. The system will update the inventory to match the quantity entered in the “Actual Inventory” field.
